IEEE ITSC 2025 Registration

Before you commence your registration, please note the following:

1. Please have with you a PaperCept PIN and password to login and register.
2. If you do not have a PaperCept PIN or have forgotten your password, follow the following link to request a new PIN or update your personal contact information: https://its.papercept.net/conferences/scripts/pinwizard.pl
3. Please have with you a PaperCept ID of your accepted paper(s) you wish to upload (if any).
4. Please have your credit card with you, ready to use. Only Master and Visa credit/debit cards, and Amex credit card are accepted.
5. If you need to print a registration receipt or confirmation email, you can do it after you complete your registration for the conference by clicking on your name in the menu bar (far right) and selecting “My transactions.”

Registration Inclusions

• Full Registration
  • Upload of accepted conference papers to PaperCept (1 paper only).  The upload of each additional paper (if the same first author) is enabled for an additional, specially discounted, fee.
  • Link to the downloadable Conference Proceedings including pdf files of all conference papers
  • Link to viewing pre-recorded video presentations, if submitted by international participants unable to come to Australia. This access will be made available from September 15, 2025 up until December 15, 2025
  • On-site Workshop Day attendance at all workshop sessions
  • On-Site attendance at all Conference sessions
  • Morning and Afternoon Refreshments on each Conference Day, and the Workshop Day as well
  • Lunch on the Workshop Day

Note: Student registration does not provide an opportunity to upload the accepted paper(s). To do that, the Full Registration option must be selected instead and paid before July 15, 2025. Consequently, the student registration will be made available from July 16, 2025 only.

• Special Registration Arrangement prepared for International Participants unable to come to Australia
  • A full registration fee must be paid for each accepted paper.
  • A special arrangement has been made to let international participants unable to come to Australia to upload a pre-recorded video presentation of their paper in between September 15, 2025 and October 10, 2025.  However, a final version of the accepted paper must be uploaded to PaperCept by the previously set date i.e. by July 15, 2025.
  • A separate pre-recorded video presentation must be prepared and uploaded for each accepted paper. The maximum permitted duration of the pre-recorded video presentation is 20 minutes as long as its total size is lower than 100 Mb.
  • Link to the downloadable Conference Proceedings including pdf files of all conference papers will be made available.
  • Link to viewing pre-recorded video presentations, if submitted by other international participants unable to come to Australia, will be made available. This access will be made available from September 15, 2025 up until December 15, 2025.

• Workshop Day Only Registration

• • On-site Workshop Day attendance at all workshop sessions.
  • Morning and Afternoon Refreshment on the Workshop Day.
  • Lunch on the Workshop Day.
  • Welcome reception attendance on Tuesday November 18, 2025. 

Registration Fees

All registration fees are listed in American Dollars (USD) and are inclusive of the 10% Australian Goods and Services Tax (GST).
Online attendance is not available. Live streaming and/or video streaming of conference and workshop sessions will not be available.

Conference Registration Procedure

1. Registration will commence on July 01, 2025. To register, please have ready:
   • Your Visa/Master Credit/Debit card or Amex card details; Please note that only these cards are accepted by the registration server; and
   • PaperCept ID of your accepted paper(s) you wish to upload after the registration fee(s) is/are paid for.
   • Your personal PaperCept PIN.  If you do not have a PaperCept PIN or have forgotten your password, follow the following  link to request a new PIN or update your personal contact information: https://its.papercept.net/conferences/scripts/pinwizard.pl
2. Before you proceed with payment of the registration fees, you are strongly encouraged to read the Registration Policy Notes below.
3. Please pay your registration fee first. Then, the PaperCept will automatically enable an upload of the final version of your paper(s) as long as the correct registration fee amount is paid in full.
4. Please note that the final paper upload submission deadline is July 15, 2025. Thus, please consider registering for the conference as early as from 01 July 2025 and before 15 July 2025 should your paper is accepted and you wish its final version be included in the Conference proceedings. Thank you for your co-operation.

Registration Policy Notes

1. A Paper Upload: The Conference Full Registration fee must be paid first to enable the upload of your accepted paper(s) as per details in tables above. If more than one of your papers is accepted, and if you are listed as the first co-author on each of them, you will then be granted with an opportunity to upload each your additional paper for specially reduced upload fee. Otherwise, a full registration fee must be paid for each additional paper for which you are not listed as its first co-author.
2. Page Limit: Submissions consisting of up to six pages are accepted. Additional two pages are permitted for an additional fee, as shown in the registration table above. This page limit (6+2 pages) is hard limit. Longer submissions will not be accepted.
3. No Conference Day Registration is available. Only Workshops Day Registration is made available. Please note that the full registration includes a free-of-charge attendance at the Workshops Day.
4. Registration & Payment Method: On-line registration & on-line credit/debit card payment is the only registration & payment method available. No internet banking nor EFT is available.
5. Student Registration: A single student registration does not allow the paper upload.
   Please send an appropriate student proof (ID, letter of confirmation) to the registration desk email at StudentRegistration@2025.ieee-itsc.org.  The Organiser reserves the right to check for student proof before providing you with a link to the Conference Proceedings. The Student Registration will be made available from 16 July 2025.
6. Credit/Debit Card Types: Visa and Master Credit/Debit Cards as well as Amex credit card will only be accepted.
7. A Pro Forma Receipt: A confirmation of your Registration payment, will be made available for the download from PaperCept at the end of the registration fee payment process.  To print/download the Receipt, click on your name in the menu bar of the PaperCept (far right) and select “My transactions.”

9. Paper upload to PaperCept: After you complete your registration process in full, the upload your paper(s) to PaperCept will be automatically enabled. You must upload the final version of each of your paper by July 15, 2025.
10. No-show Papers: Papers that are not presented at the conference are very disruptive to a conference program. Any accepted paper that is not presented at this conference (either personally or via submitting a pre-recorded video presentation) is at risk of not being published in the conference proceedings.
    If the domestic primary paper author is unable to attend, please arrange a co-author or other colleague to present the paper.
    For international participants unable to come to Australia a special arrangement has been made to let them upload a pre-recorded video presentation of their paper. The upload of their video presentation must be completed in between September 15, 2025 and October 10, 2025 while their accepted paper(s) must be uploaded to PaperCept by the set date i.e. by July 15, 2025 assuming that the conference registration fee is paid prior to it. The maximum permitted duration of the pre-recorded video presentation is 20 minutes as long as its total size is lower than 100 Mb.
11. Refund Policy: Any cancellation is associated with significant costs to the conference organisers and might conflict with the paper submission policy. For these reasons, following fees and rules will apply for any cancellation of the registration, or any other items, purchased through the ITSC 2025 On-Line Registration Fee Payment Process. For any cancellation, a handling fee of 10% of the cancelled service will strictly apply.
    1. In addition:

1. 1. 1. Cancellation from and after August 25, 2025 but before September 01, 2025  – 50% of the paid registration amount will be forfeited;
      2. Cancellation from and after 01 September 2025 – 100% of the paid registration amount will be forfeited;
      3. No registration paid on, or after 01 September 2025, is refundable.

1. 1. Any granted refund is subject to this Cancellation Policy.

Limitation of Liability in relation to IEEE ITSC 2025

The IEEE-ITSC 2025 reserves itself the right to cancel ITSC 2025 without notice or compensation in the event of any delay, default, failure or cancelation of implementation of any deliverable to or for the ITSC 2025 which has been caused, directly or indirectly, by any incident of “force majeure”.

For the purposes hereof, the term “force majeure” shall include but not be limited to the following:

• Any act of nature such as fire, earthquake, hurricane, flood or adverse weather conditions;
• Any strike, or other industrial action of any kind;
• Unavoidable breakdown or destruction of virtual communication facilities or equipment including Power failure;
• Any failure of the ITSC 2025 service providers to fully carry out their obligations towards the ITSC 2025 Organiser;
• Any failure of communication platform used by ITSC 2025 for the purpose of enabling remote access to ITSC 2025 pre-recorded video presentations;
• Terrorist attack and/or a Cyber attack;
• Promulgation of any relevant legislation or regulation by local or national government;
• Any geopolitical and/or geostrategic development at the conference destination, or its surroundings, deemed to have an adverse effect on participants’ safety.
• Any occurrence of any nature which renders it reasonably necessary for the ITSC 2025 Organiser to cancel the ITSC 2025 conference.

In such cases, the ITSC 2025 Conference Organiser is freed of all responsibility and no reimbursement of the payments made directly to the ITSC 2025 will be arranged.
